The page follows the booking through its whole life

Send the client one link when the show is first pencilled in, and never send another. The page knows the booking’s stage and shows the right thing at the right time: a holding note while you’re preparing, an “agreed and in our diary” summary once you’ve shaken hands, a confirmation step when you’re ready, the confirmed details before the show, and a thank-you with feedback afterwards.

Each stage exposes only an allow-listed slice of the booking, the link token is unguessable, and requests are rate-limited — a public page without a public attack surface.

Clients confirm the date, venue and price — in writing

The confirm-details step lays out the show name, date, timings, venue and price, and asks the client to check and confirm in one go. Their answer flips per-field Date confirmed and Price confirmedflags on the display record, so the back office can see at a glance exactly what has been agreed — and what hasn’t.

Once the show is fired, the same link turns into a thank-you page with a feedback form. What the client writes is saved against the display — alongside the design, the crew, the stock issued and the financials — so the whole job is reviewable in one place.

Common questions

Do my clients need an account or password?
No. Each booking gets one permanent, unguessable link on your own subdomain. The page shows exactly what that booking’s stage allows — nothing more — and the link stays the same from first contact to post-show feedback.
What does the client actually see?
It depends on the stage of the booking. Early on, a holding page. Once you’ve agreed the show verbally, a “thanks for confirming” summary. When you’re ready, a confirm-details step where they check date, times, venue and price and confirm in one go. After booking: the confirmed summary plus a message box for gate codes and parking. After the show: a thank-you and a feedback form.
How do confirmations get back to me?
The client’s confirmation flips per-field Date-confirmed and Price-confirmed flags on the display record, and their messages and feedback land against the same record — so the back office sees exactly what has and hasn’t been agreed.
Is it branded as my company?
The page carries your company name in a branded header with a tap-to-call phone chip, and lives on your own {yourcompany}.pyroportal.co.uk subdomain. Full per-tenant logo and colour theming is on the roadmap.
